Terms & Conditions

1. Consultations & Medical Assessments

All treatments require an initial face-to-face consultation with Samantha Langiano, our aesthetic practitioner and NMC-registered nurse.

During your consultation, we will discuss your concerns, aesthetic goals, medical history and suitability for your chosen treatment. We will also explain the potential benefits, risks, alternatives and expected outcomes to help you make an informed decision.

All clients must complete a comprehensive medical and health questionnaire before treatment.

All consultations are completely free of charge, with no obligation to proceed with treatment.

Prescription-Only Treatments

For treatments requiring prescription-only medication, an additional face-to-face consultation with our qualified prescriber is mandatory.

This assessment is separate from your consultation with Samantha Langiano and ensures that any prescribed treatment is clinically appropriate, safe and suitable for your individual needs.

Prescription-only treatments will only be provided following a satisfactory assessment and, where appropriate, the issuing of a valid prescription by our prescriber.

Attending a consultation does not guarantee that treatment will be prescribed or provided.

We will never proceed with treatment where there are concerns regarding your safety or clinical suitability.

2. Age Restrictions & Challenge 25 Policy

At We Love Aesthetics, we operate a strict 18-and-over policy. We do not offer aesthetic treatments to anyone under the age of 18, regardless of parental or guardian consent.

To support this commitment, we operate a Challenge 25 age verification policy.

If you appear to be under the age of 25, you will be required to provide valid, government-issued photographic identification at your appointment to confirm that you are aged 18 or over.

Accepted forms of identification include:

  • A valid passport

  • A UK photocard driving licence

  • Other recognised government-issued photographic identification displaying your date of birth

If you look under 25, please ensure you bring suitable photographic identification to your appointment.

We reserve the right to refuse or postpone treatment if satisfactory identification cannot be provided when requested.

3. Bookings & Deposits

A £50 booking deposit is required to secure all treatment appointments.

This deposit will be deducted from the total cost of your treatment, with the remaining balance payable on the day of your appointment.

Booking deposits are generally non-refundable where a client cancels, subject to our cancellation policy, the circumstances of the cancellation and applicable consumer rights.

All initial consultations and required prescribing consultations are free of charge.

If treatment is considered medically unsuitable following consultation or assessment, any deposit paid will be refunded or, where agreed, transferred to a suitable alternative treatment.

4. Cancellations & Missed Appointments

We understand that circumstances can change and kindly ask that you provide at least 24 hours' notice if you need to cancel or reschedule your treatment appointment.

Cancellations made with less than 24 hours' notice, or failure to attend an appointment, may result in the loss of your booking deposit.

Where applicable, an additional reasonable cancellation charge may be requested to reflect losses directly arising from the late cancellation, taking account of any deposit already retained and our ability to fill the appointment.

Any cancellation charges will be fair, proportionate and consistent with applicable consumer protection legislation.

Where sufficient notice is provided, we will endeavour to accommodate an alternative appointment.

We also kindly ask that you arrive on time. Late arrival may result in your treatment being postponed or rescheduled if there is insufficient time to carry out the procedure safely.

5. Treatment Suitability & Patient Safety

Your health, safety and wellbeing are our highest priorities.

We Love Aesthetics reserves the right to decline, postpone or discontinue any treatment where it is considered medically unsuitable, unsafe or not in your best interests.

This may include circumstances involving:

  • Medical conditions or contraindications

  • Medication or allergy concerns

  • Pregnancy or breastfeeding where relevant to treatment safety

  • Unrealistic treatment expectations

  • Concerns regarding informed consent or treatment suitability

All treatments are subject to appropriate clinical assessment, informed consent and professional judgement.

As an NMC-registered nurse, Samantha Langiano is professionally accountable for her nursing practice and is committed to working within her professional competence and in accordance with the standards set out by the Nursing and Midwifery Council.

We will never recommend or undertake a treatment that we believe is inappropriate or unsafe.

6. Clinical Photography & Consent

Before and after photographs may be taken as part of your clinical treatment record to support assessment, treatment planning, monitoring of progress and evaluation of results.

Where clinical photographs are required, their purpose will be explained to you.

All photographs and clinical information will be handled securely and in accordance with applicable UK data protection legislation and our Privacy Policy.

Your photographs will never be used for marketing, advertising, social media or promotional purposes without your separate, explicit consent.

Consent for marketing photography is entirely optional and will not affect the quality of care or treatment you receive.

7. Payments & Treatment Prices

We accept payment by:

  • Credit and debit card

  • Bank transfer

  • Cash

Any outstanding balance must be settled on the day of treatment.

We Love Aesthetics reserves the right to review and amend treatment prices at any time.

All treatment costs will be clearly communicated and agreed upon before proceeding.

Any changes to the price of an already confirmed booking will be discussed with you before treatment and will not be imposed without your agreement.

8. Treatment Results & Expectations

Every client is unique, and treatment outcomes may vary depending on individual factors such as skin type, medical history, lifestyle and response to treatment.

Although we aim to achieve the best possible results, no specific aesthetic outcome can be guaranteed.

During your consultation, we will discuss realistic expectations, potential risks, benefits and any recommended aftercare.

Some treatments may require additional sessions or ongoing maintenance to achieve or maintain the desired results. Any associated costs will be explained before proceeding.

9. Aftercare & Client Responsibilities

Following treatment, you will be provided with appropriate aftercare information to support your recovery and help minimise the risk of complications.

Clients are encouraged to follow all aftercare instructions carefully.

It is your responsibility to provide accurate and up-to-date information about your medical history, medications, allergies and any changes to your health before treatment.

If you experience any unexpected symptoms, complications or concerns following treatment, please contact We Love Aesthetics promptly so that appropriate advice or assessment can be arranged.

If you experience a medical emergency, such as severe breathing difficulties, collapse or symptoms of a serious allergic reaction, call 999 immediately.

10. Complaints Policy & Procedure

At We Love Aesthetics, we are committed to delivering safe, professional and compassionate care. We take pride in the service we provide and aim to ensure every client has a positive experience.

However, we recognise that there may be occasions when our service does not meet your expectations.

We welcome all feedback, including complaints, and view this as an important opportunity to reflect, learn and continually improve our practice.

All complaints will be treated seriously, respectfully, fairly and confidentially.

How to Make a Complaint

If you are unhappy with any aspect of your consultation, treatment, aftercare or experience at We Love Aesthetics, we encourage you to contact us directly.

Complaints may be raised verbally or in writing.

Telephone: 07468867675

When submitting a complaint, please provide your name, contact details, date of treatment and a description of your concerns. Please also let us know what outcome you are seeking.

You are welcome to raise a concern informally in the first instance, and we will make every reasonable effort to resolve the matter promptly.

Our Complaints Procedure

Step 1 – Acknowledgement

We aim to acknowledge all formal written complaints within 3 working days of receipt.

We will confirm that your complaint has been received and explain the next steps.

Step 2 – Investigation

Your complaint will be reviewed carefully, fairly and objectively.

Where appropriate, this may involve reviewing consultation records, treatment documentation, consent forms, clinical photographs and any other relevant information.

We may contact you to request further details or to discuss your concerns.

Where a complaint relates to clinical care or patient safety, appropriate action will be taken promptly to assess and address any immediate risks.

Step 3 – Response

We aim to provide a written response within 20 working days of receiving your complaint.

Our response will explain the outcome of our review, address the concerns raised and outline any actions taken or proposed.

If further time is required to investigate the matter thoroughly, we will keep you informed and provide an updated timescale.

Step 4 – Further Review

If you remain dissatisfied with our response, you may request a further review of your complaint.

Where possible, this will involve an appropriately independent person or external professional to ensure that your concerns receive fair consideration.

We will explain the available options for further review and any relevant independent routes for raising concerns.

Professional Accountability & NMC Registration

Samantha Langiano is a registered nurse and is professionally accountable to the Nursing and Midwifery Council (NMC).

As an NMC registrant, Samantha is committed to upholding The Code: Professional Standards of Practice and Behaviour for Nurses, Midwives and Nursing Associates.

These professional responsibilities include:

  • Prioritising people and treating patients with kindness, dignity and respect

  • Practising effectively and maintaining appropriate clinical standards

  • Preserving patient safety and working within professional competence

  • Promoting professionalism, honesty and trust

  • Responding to complaints openly, fairly and professionally

  • Reflecting on feedback and using concerns as opportunities to improve practice

Where something has gone wrong, or a patient has experienced harm, we are committed to acting openly and honestly in accordance with the professional duty of candour.

Raising Concerns with the NMC

If you have serious concerns about the professional conduct, competence or fitness to practise of an NMC-registered nurse, you have the right to raise these concerns directly with the Nursing and Midwifery Council.

Nursing and Midwifery Council (NMC)
Website: www.nmc.org.uk
Raising concerns: www.nmc.org.uk/concerns/

The NMC is the professional regulator for nurses, midwives and nursing associates in the United Kingdom.

Please note that the NMC does not generally investigate routine customer service complaints, refund disputes or dissatisfaction with aesthetic results. Its role is to consider concerns relating to professional conduct, patient safety and fitness to practise.

You do not have to complete our internal complaints process before contacting the NMC if you believe there is a serious concern about professional practice or patient safety.

Our Commitment to Fairness

Making a complaint will never result in discrimination, unfair treatment or a reduction in the standard of care you receive.

All complaints will be documented appropriately, handled with discretion and used to identify opportunities to improve the quality and safety of our services.

Where a complaint identifies an error, we will take appropriate steps to address the issue, explain what has happened and implement improvements where necessary.

We believe that open communication, honesty and professional accountability are essential to maintaining trust between patients and healthcare professionals.
